Working-group expressions of interest
This notice explains how the Open Property Data Association uses information supplied by people who register interest in the Smart Property Data Trust Framework working groups.
We use these details to review your expression of interest and, if accepted, administer your participation. Registering does not sign you up to a newsletter, does not give you membership or access, and is not used as evidence for AI-assisted modelling.
Who controls your information
Open Property Data Association Ltd (company number 14789946) is the controller for information collected through this expression-of-interest service. Its registered office is Tanfield Lea Business Centre, Unit G2, Stanley, Co Durham, DH9 9DB. Questions and requests can be sent to smartdata@openpropdata.org.uk.
What we collect
We collect the information you enter and the records needed to administer participation:
- your full name, email address, organisation, and role or area of expertise;
- the working groups and contribution types you select;
- an optional, length-limited note about relevant experience or perspective;
- your acknowledgement of the registration purpose and this notice; and
- the submission timestamp and the version of the notice you acknowledged;
- review decisions, enrolment and active or suspended account status; and
- account identifiers, email-verification and session records needed for secure sign-in.
Do not include confidential information, evidence, links, property or customer data, transaction details, or special-category personal information in the optional note.
Why we use it
OPDA uses the information to:
- review interest, experience and potential fit across the selected groups;
- contact you about the groups you selected and, if accepted, administer participation; and
- maintain your participant record and provide approved website account access;
- protect the public form from automated or abusive submissions.
OPDA relies on its legitimate interests in organising and administering an open, evidence-led standards process. You may object to this use or withdraw your interest at any time. We do not add you to a general marketing list through this form.
Registration data is operational recruitment data. It is not put into the source corpus used by AI-assisted ontology or data-model development.
Services and recipients
Access is limited to authorised people acting for OPDA and the providers needed to run the service:
- Amazon Web Services hosts the form service and encrypted participant register in the UK region. Amazon Cognito provides account authentication and user-requested email sign-in codes. The service uses private recovery copies and reference-only submission events; form fields are not copied into those events;
- HubSpot is OPDA's contact-management service. It receives the relevant contact, organisation, working-group preference and contribution details, together with review and account-status information. It does not authenticate you or decide website access;
- Microsoft Teams and SharePoint may be used later only if OPDA accepts and invites you.
Registering through the public service does not automatically create a Microsoft guest account, grant access or give you standards decision rights.
New applications require OPDA approval before a website account is enabled. Signing in proves control of your email address; it does not opt you into marketing.
International transfers
Some providers may process personal information outside the UK. OPDA requires providers to protect it using applicable UK adequacy arrangements or approved contractual safeguards, such as the UK International Data Transfer Agreement or UK Addendum, where required.
How long we keep it
- Expressions of interest that are declined, withdrawn or not progressed: up to six months.
- Accepted participant records: for the working group's duration plus 12 months.
We keep information for longer only where a separately documented legal obligation requires it.
Your choices and rights
You can ask OPDA to give you access to your information or correct it, withdraw your expression of interest, object to processing, or ask us to delete or restrict it where applicable. Email smartdata@openpropdata.org.uk.
